Initial COVID-19 Accomodations

The Coronavirus (COVID-19) continues to raise challenges for our nation and our local communities. As such, you’ve no doubt read that other organizations are taking proactive steps to keep employees safe, and customers satisfied. You can rest assured that BHHC’s Workers Compensation Division is taking all reasonable steps to ensure minimal disruption for your business. In addition to following guidance provided by the CDC and WHO, we are taking a proactive approach to protect business continuity. We’d like to raise the following in your awareness:

  • As of today, March 17 (also in accordance with the public health order from the City of San Francisco), BHHC employees are now using some form of working-from-home scenario to ensure safe social distancing, while maintaining the accessibility that you’ve come to expect in our quality of service. We are ready to continue delivering industry-leading quality in this scenario for as long as necessary.
  • For your safety, and the safety of our employees, we have temporarily suspended non-essential work travel for employees, including marketing staff. As appropriate, in-person meetings will be replaced with telephonic or online meetings until we believe it is advisable for in-person meetings and travel to return to pre-event levels.

We also know that at this time, completing administrative tasks such as submitting Monthly Payroll Reports and completing Final Audits are relegated to be a low priority task. In the current environment, they should be. We hope the following changes will help in maintaining your core focus on navigating the current crisis through the upcoming weeks/months:

  • Monthly Payroll Reporting | Pay-As-You-Go We will grant an automatic 30-day extension to any Workers’ Compensation policyholder who requests more time for submitting their Monthly payroll or Pay-Go reporting. Please send this request directly to our billing department.
  • Installment Billing If you believe your annual payroll will be substantially less than your initial estimate, we will re-estimate your annualized premium based on your updated yearly payroll estimate. A revised payroll estimate will reduce your monthly installment bills. Please submit this request to your underwriter.
  • Final Audit Any Workers Compensation policyholder will be given substantial leniency in regards to completing a final audit, complying with a non-compliance notice, and the final audit payment. Please let our Audit Department know if you need more time, and they will work with you in getting through this task.

24/7 online access is available for you and your insureds on many of our direct bill policies. Your marketing rep or our Client Services team can provide additional information about accessing policy documents, making payments online, and submitting change requests through our workers compensation portal. Due to increased nationwide demand for more bandwidth, we may experience intermittent slow-downs in online experiences, but we are assured by our global communication providers that those too, will pass.
